Save counselor notes

Who this is for: Counselors Time: 2-4 minutes You'll need: Access to the student's profile page

What this does​

Use Counselor Notes on the student's profile to save private notes for later follow-up.

These notes are for counselors and are not visible to students.

Before you begin​

  • Open the student from your Students list.
  • Open the student's profile page.
  • Start on Overview, where Counselor Notes appears.

Open the student's profile​

Go to Students and select the student you want to update.

Go to Overview​

On the student profile page, open Overview.

The Counselor Notes section appears on this tab.

Start a new note​

If the student already has notes, select Add Notes.

If the student does not have any notes yet, select Add a note.

Enter the note​

In the note window, enter the note in Add your notes.

Use this for details you want to keep for yourself or other counselors, like:

  • follow-up reminders
  • meeting takeaways
  • concerns to revisit
  • helpful context for future outreach

Or press the microphone icon to talk instead of typing​

Select the microphone icon in the note toolbar to turn on transcription. Speak, and your words are typed into the note for you.

Select the microphone icon again to turn transcription off and go back to typing.

Select Add note​

When the note is ready, select Add note to save it.

The new note appears in the Counselor Notes list on the student's profile.

Review or update the note later if needed​

Each saved note shows its date and who added it.

You can:

  • select Edit to update the note
  • delete the note if it is no longer needed

What happens next​

  • The note stays on the student's Overview tab.
  • Other counselors can see counselor notes on that student's profile.
  • You can keep adding notes over time as the student progresses.

If something looks wrong​

You see No notes added​

  • This means the student does not have any counselor notes yet.
  • Select Add a note to create the first one.

The note did not save​

  • Make sure the note is not blank.
  • Try again in a moment.

You get a duplicate note warning​

  • Addie blocks saving the exact same note twice.
  • Update the wording if you need to save a new version.

Transcription is not picking up my voice​

  • Check that your browser or device has given Addie microphone permission.
  • Select the microphone icon again to make sure transcription is turned on.
  • Review a student
  • Chat about a student profile
  • Review teacher comments
  • Use My Notes (a separate, student-only feature — see the student guide; students cannot see counselor notes)
