Record a meeting
Who this is for: Counselors Time: Varies with meeting length You'll need: Microphone access, or a pre-recorded audio file
What this does
Transcribe a meeting and save a summary to a student's notes — either by recording live or uploading an existing audio file.
Before you begin
- Decide whether this meeting is tied to a specific student, or is a General meeting not attached to anyone (visible only to you).
- Plan to ask everyone in the meeting for consent before transcribing. Addie gives you a script to read.
Open Meetings
Select Meetings in the left-hand navigation.
Start a meeting
Select a student (or General meeting) and enter a meeting reason, like "College list check-in."
Get everyone's consent
Select Transcribe Meeting. Addie shows a consent script:
"I'd like to use Addie to transcribe our meeting so I can focus on our conversation. The transcript will be saved to your counselling record. Is that okay?"
Read it aloud to everyone in the meeting. The microphone won't turn on until you confirm. If anyone says no, select Cancel.
Record or upload
- Once everyone agrees, select Everyone agrees. Start transcription. Allow microphone access if prompted. Select Stop Transcription when you're done.
- Or select Upload to choose a pre-recorded audio file instead.
Label speakers
Once processing finishes, the meeting shows as Needs labeling. Open it and label who's speaking in the transcript.
Review the summary
Once labeled, the meeting shows an AI-generated summary alongside the transcript.
Save to notes (optional)
Select Save to Note to save the summary to the student's notes for later reference.
What happens next
- The meeting moves from Needs labeling to Labeled.
- If processing fails, the meeting shows as Failed — you can try uploading again.
